Privacy Policy

This Privacy Policy explains how Thinkhubˣ ("we", "us", "our"), operated by Amir Shavandi, collects, uses, and protects your information when you use our Service at thinkhubx.com.

By using the Service, you agree to the practices described in this policy. If you are located in British Columbia, Canada, this policy is designed to comply with the Personal Information Protection Act (PIPA BC).

We do not collect payment information directly — payment processing (when available) is handled by a third-party processor.

2. How We Use Your Information

• To provide and improve the Service (answer your HR questions, maintain case files).
• To personalise your experience (conversation memory, profile recall).
• To maintain security and prevent fraud or abuse.
• To send transactional communications (account verification, waitlist updates) — no marketing emails without consent.
• To analyse aggregate usage patterns and improve the product.

3. AI Processing & Third-Party Providers

Your chat messages are sent to AI model providers (currently Groq, Inc. and associated model providers) to generate responses. By using the Service, you acknowledge that:

• Your queries are transmitted to third-party AI inference providers.
• These providers have their own privacy and data processing policies.
• We do not sell or share your chat content for advertising purposes.

Do not submit sensitive personal information (e.g., SINs, full names of employees, confidential medical records) in chat messages. Anonymise or generalise where possible.

4. Data Retention

• Conversations & case files: Retained while your account is active. You can delete individual conversations or your entire account at any time.
• Uploaded files: Retained until you delete them from My Files.
• Server logs: Retained for up to 90 days for security and debugging.
• Deleted accounts: Personal data is removed within 30 days of account deletion.

5. Data Sharing

We do not sell your personal information. We may share data only in these limited circumstances:

• AI inference providers: Groq, Inc. processes your chat queries. See Groq's Privacy Policy.
• Legal requirements: If required by law, court order, or to protect our legal rights.
• Business transfers: In the event of a merger or acquisition, data may be transferred (you will be notified).

6. Cookies & Local Storage

We use:

• Session cookies: To keep you logged in. These expire when you close the browser or log out.
• localStorage: To store your theme preference, streak data, and a browser-level client ID. This data stays on your device and is not transmitted to our servers except as part of analytics queries.

We do not use third-party advertising cookies or cross-site tracking.

7. Security

We take reasonable technical and organisational measures to protect your information, including:

• Passwords are hashed using bcrypt — we never store plaintext passwords.
• All data is transmitted over HTTPS.
• Uploaded files are stored in user-isolated directories with access controls.

No system is perfectly secure. We encourage you to use a strong, unique password and not share your account credentials.

8. Your Rights (BC PIPA)

If you are located in British Columbia, you have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate information.
• Request deletion of your account and associated data.
• Withdraw consent for non-essential data processing.

9. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. For material changes, we will notify registered users by email or via an in-app notice.
